Viewing reports and having them emailed automatically

Review revenue, VAT, top products and peak hours — and send your accountant a report every month without lifting a finger.

Reports

Under Reports you first pick a period: Today, This week, This month or Custom with your own start and end date. Then there are two tabs: Revenue and Z reports.

At the top are the headline figures: revenue, subtotal, number of orders, average order, items sold, discounts, total VAT and tips received. Below that the breakdowns:

  • Payment methods — what came in as cash, card or otherwise.
  • Order types — dine in, pickup, delivery.
  • Revenue by category and Top products.
  • VAT breakdown — net, VAT and gross per rate.

Export CSV gives you the file, Print puts it on paper.

Reviewing Z reports

The Z reports tab holds the closings made on the POS, with journal number, revenue, VAT and cash difference. Useful when you want to find out why a day was off. The closing itself happens on the POS — see End of day: from X report to Z report.

Analytics

Analytics looks at the trend rather than a single day: 7, 30, 90 or 365 days, with revenue per day, revenue per weekday, top products and peak hours. That last one is the screen that lets you back up your staffing plan with numbers.

Is a day showing zero when you did not expect it? First check whether you were closed. A closed Monday looks exactly like an outage in the figures.

Emailing reports automatically

Would you rather not send your accountant an export by hand every month? Use Scheduled reports:

  1. 1Go to Reports by email and tap New.
  2. 2Give the report a name, for example "Monthly report accountant".
  3. 3Enter the recipients, separating multiple addresses with a comma.
  4. 4Choose the frequency and the contents.
  5. 5Set it to active and save.

From then on it goes out by itself. If you want full bookkeeping entries rather than a report, see the accounting connection.
